This policy describes how VNIS Vietnam Co., Ltd collects, uses, stores and protects the personal data you provide through vnis.edu.vn, in accordance with Decree 13/2023/ND-CP on personal data protection.

VNIS Vietnam Co., Ltd, licensed to provide study-abroad consultancy under Decision No. 2286/QD-SGDDT dated 2 August 2023 issued by the Ho Chi Minh City Department of Education and Training.
Any request concerning personal data may be sent to partners@vnis.edu.vn or to the offices listed on our Contact page.
Contact details: name, email, phone number, and organisation name where you write on behalf of an organisation.
Academic details you enter in the student profile form: study level, field of interest, intended intake, grade average, language and standardised test results, countries of interest, indicative budget, and whether you need financial support.
Details submitted when applying to an institution: date of birth, nationality, current school, programme preference.
Details submitted when applying for a job with us: the CV you upload and accompanying professional information.
Details submitted when registering for an event: organisation and invoicing information.
We do NOT actively collect sensitive personal data as defined in Decree 13/2023/ND-CP. If you voluntarily include such information in a free-text field, we use it only for the advice you have requested.
To contact you and advise you on what you asked about.
To generate an automated preliminary assessment from what you entered, so you have something concrete before speaking to an adviser.
To forward your application to a foreign educational institution IF AND ONLY IF you have asked us to apply there.
To process event registrations, newsletter subscriptions or job applications where you use those features.
To improve our service through satisfaction surveys, where you agree to take part.
We process your data on the basis of the consent you give by ticking the consent box before submitting a form. The box is never pre-ticked.
We store the exact wording you consented to, together with the time of consent, so both sides can check it later when the policy text changes.
You may withdraw consent at any time by writing to partners@vnis.edu.vn. Withdrawal does not affect the lawfulness of processing carried out beforehand.
VNIS staff responsible for advising you and the departments relevant to your request.
Our internal management system (CRM), operated by VNIS itself, where records are kept so the team can follow up.
The foreign educational institution you asked us to apply to — only the information needed for admission, and only where you have requested an application.
Technical service providers supporting the website and email delivery (cloud hosting, mail services). They process data on VNIS instructions.
Competent state authorities where there is a lawful request.
We do NOT sell personal data and do NOT share it with third parties for their own advertising.
Consultancy and student profile records: kept while the advisory relationship continues and for up to five years from the last interaction, to support continuity and record-keeping obligations.
Satisfaction survey responses: kept for at least three years, as required by the AIRC accreditation standard VNIS follows.
Newsletter subscriptions: kept until you unsubscribe; every newsletter carries an unsubscribe link.
After those periods, data is deleted or anonymised.
To know what data of yours is being processed and for what purpose.
To access it, request a copy, and have inaccurate data corrected.
To withdraw consent, request erasure, and request restriction of or object to processing.
To complain to the competent state authority if you believe your rights have been infringed.
To exercise these rights, write to partners@vnis.edu.vn. We respond within the statutory period.
Data travelling between your browser and our systems is encrypted with HTTPS.
Access to records in our internal systems is restricted by work role.
No system is perfectly secure. If an incident affects personal data, we notify as required by law.
Study-abroad advice may involve students under 16. In that case, information and consent should be provided by a parent or guardian.
If you are a parent or guardian and believe your child submitted information without your consent, please contact us and we will address it.
When this policy changes, the new version is published on this page with the update date.
For data already collected, we continue to work from the wording you consented to at the time you submitted the form.
