Fee transparency

Service fees

This page publishes the fee schedule for student services, the refund policy, how VNIS contracts with clients and how to raise a complaint. Every figure here is a real figure, not a promise to quote later.

These are VNIS service fees and do NOT include amounts charged by third parties (see below). Work falling outside a package is quoted separately in writing before it begins.

Not VNIS fees

Amounts charged by third parties

The items below are set by institutions, testing bodies, consular authorities or service providers. VNIS neither collects them nor sets their level, but will tell you about them so you can plan.

Before we begin

A written contract

Before any paid service begins, VNIS and the client sign a written service contract setting out the scope of work, the fee, the payment schedule and each party's responsibilities.

You receive the contract before you pay. No fee arises unless it is stated in the contract or you have agreed to it in writing.

The first guidance consultation is free and carries no obligation.

If you stop partway

Refund policy

The refund proportion depends on the stage of work VNIS has completed when your request arrives. The table below applies to VNIS service fees.

Amounts collected by third parties (institution application fees, test fees, visa fees, holding deposits) follow the refund policy of the body that collected them — VNIS does not hold and cannot refund those amounts.

Stage at which you request a refundRefunded
Contract signed, VNIS has not begun work on your application70%
Application preparation started, nothing submitted to any institution50%
Application submitted to an institution50%
An offer of admission has been received0%
A visa application has been filed0%

Percentages apply to the VNIS service fee you have paid, not to amounts collected by third parties.

1

Submit a request

Send a written refund request by email or at our office, quoting your contract reference.

2

Assessment

VNIS assesses the stage of work completed against the table above and your contract terms.

3

A written answer within 15 working days

VNIS responds in writing within 15 working days of receiving a complete request, stating the outcome and the basis for it.

4

Payment within 15 working days

Where a request is approved, VNIS transfers the refund within 15 working days of the approval date.

Scholarships

Fees are not tied to scholarships

VNIS does not charge students any fee calculated on the value of a scholarship received, and does not make payment conditional on whether a scholarship is awarded. Fees are based on the agreed scope of work, not on funding obtained from institutions.

When fees change

Circumstances in which a fee may be revised

A change of country or programme

If the scope of work changes, the fee is re-quoted in writing before work continues.

Expedited handling

An application that must be completed in a shorter timeframe than usual.

Work outside the contract

Tasks that fall outside the package you signed for.

A third party changes its charges

An institution, testing body or consular authority revises its own fees.

In every case, a revised fee applies only after you have been informed and have agreed.

If something goes wrong

Complaints and feedback

If you believe a fee, a service scope or the handling of your application does not match what was agreed, raise a complaint through one of the channels below. Every complaint is recorded and answered in writing.

VNIS also runs annual satisfaction surveys with students, parents and partner institutions, keeping those records on file for at least three years for independent review.

Frequently asked

What clients ask about cost

Is the first consultation charged?

No. The first guidance consultation is free and carries no obligation — it covers a profile assessment, country and institution suggestions, and realistic scholarship and cost guidance.

Do the fees include tuition and visa charges?

No. The schedule on this page covers VNIS service fees only. Tuition, institution application fees, test fees, visa fees and holding deposits are charged by third parties; VNIS neither holds them nor sets their level.

Does VNIS take a percentage of any scholarship?

No. VNIS charges no fee calculated on the value of a scholarship and makes no payment conditional on whether one is awarded. Fees follow the agreed scope of work, not the funding you obtain.

How do I request a refund?

Send a written request by email or at our office, quoting your contract reference. VNIS assesses the work completed against the terms of the contract you signed and answers in writing.

Can the price rise partway through?

A fee changes only when the scope of work changes — a different country or programme, expedited handling, work outside the contract, or a third party revising its own charges. Any revised fee applies only after you have been informed and have agreed.

Where do I complain if I am unhappy?

Raise it by email or hotline via the Complaints section on this page. Every complaint is recorded and answered in writing. You can also give feedback through the annual VNIS satisfaction survey.
