Terms of service

This page sets out the services VNIS Education provides through vnis.edu.vn, the conditions and limits that apply, how the services are actually delivered, and how they may be terminated.

1. Services provided

Study-abroad advice: choosing a level and field of study, selecting institutions and building a study pathway.

Support with admission and scholarship applications to foreign educational institutions.

Guidance on student visa files and pre-departure preparation.

Services for organisations: recruitment representation in Vietnam, education events and conferences, education marketing.

The website does NOT sell physical goods. Everything transacted here is a service.

2. Conditions of use

Clients provide truthful information about their academic record, finances and identity. Inaccurate information can cause an institution or consulate to refuse the application, and VNIS is not responsible for that outcome.

For anyone under 18, the contract and the information are provided by a parent or guardian.

The scope of work, the fee and the timeline for each service are set out in a WRITTEN CONSULTANCY CONTRACT signed before work begins. The website is introductory information and does not replace that contract.

Clients receive the contract before paying. No fee arises unless it is stated in the contract or agreed in writing by the client.

3. Limits of the service

VNIS does NOT and cannot guarantee admission, scholarship or visa outcomes. Those decisions rest with the foreign institution and the consular authority.

VNIS does not make false declarations on a client's behalf, does not create or alter documents, and does not accept files that show signs of fraud.

Tuition, fees, entry requirements and immigration policy are set by third parties and change yearly. VNIS provides the position at the time of advising and directs clients to the official source.

Fees collected by third parties - institutional application fees, test fees, visa fees, seat deposits - are not VNIS service fees and follow the policy of the body collecting them.

VNIS does not provide immigration, investment-migration or labour-brokerage services through this website.

LIMITS ON WHEN THE SERVICE IS AVAILABLE. Advice and application handling are carried out during office hours, Monday to Friday. Forms on the website accept requests around the clock but are only processed in working hours. Submission to an institution also depends on that institution's own intake and deadlines.

GEOGRAPHIC LIMITS. The service is delivered in person at the VNIS offices in Hanoi and Ho Chi Minh City, and online nationwide. VNIS supports applications only to the countries and institutions named in the contract.

LIMITS ON WHO MAY USE THE SERVICE. Anyone under 18 must have a parent or guardian sign the contract and supply the information. VNIS does not accept applications from people subject to an exit ban or otherwise restricted by law.

QUANTITY LIMITS. The number of institutions an application may be sent to under each package is stated in the package table on this website and in the contract. Anything beyond that number is additional work, charged only after written agreement.

SERVICE AVAILABILITY. The website and portal may be suspended for maintenance or by technical fault; planned maintenance is announced on the website beforehand. The service may also be interrupted by force majeure - natural disaster, epidemic, a change in immigration policy, or a decision of a state authority. Time lost to an interruption does not count against the contract's delivery period.

4. How the service is delivered

Services are delivered in person at VNIS offices, by telephone, by video conference and by email, as agreed in the contract.

Once the contract takes effect, VNIS assigns a named adviser who works directly with the client throughout.

Files are received, checked and submitted to institutions against the milestones agreed in the contract. Clients follow progress through their adviser or an account on the VNIS portal.

This is a service delivered in stages, not goods to be shipped - no delivery or goods-return policy applies.

PACKAGES PAID FOR IN ADVANCE AND USED LATER. The packages sold on this website are paid for up front and used afterwards. How they are used: after payment VNIS contacts you within 1 working day to sign the contract and assign an adviser; the service is then delivered at a VNIS office or online, as agreed in the contract.

VALIDITY PERIOD. A package is valid for 12 months from the date of payment unless the contract states otherwise. Within that period you choose when to start.

CHANGING OR CANCELLING A PACKAGE. Before VNIS has begun work on your application you may switch to another package, paying only the difference, with no change fee. Once work has begun, cancellation follows the refund schedule on the Service fees page. A package cannot be converted into cash and cannot be transferred to another person.

5. Termination and refunds

Clients may terminate at any time by written notice sent by email or delivered to an office, quoting the contract reference.

VNIS may terminate where a client supplies false information, asks for something unlawful, or fails to meet the payment obligations in the contract.

The refund rate depends on the stage of work completed when the request is received, per the table published on the Service fees and refunds page. Approved refunds are transferred within 15 working days of approval.

Amounts collected by third parties fall outside the VNIS refund scope.

WHEN TERMINATION TAKES EFFECT. Where the customer is the party terminating, the contract ends AT THE MOMENT THE CUSTOMER SENDS NOTICE. Fees are settled against the work VNIS had completed up to that moment; anything paid beyond that is refunded under the refund schedule.

PROCEDURE AND DEADLINES. Send notice of termination to partners@vnis.edu.vn, through the portal if you have an account, or in person at our office, quoting your contract reference. VNIS acknowledges within 1 working day, reconciles the work completed, and answers in writing within 15 working days.

HOW REFUNDS ARE PAID. A refund is transferred back to the same account the payment came from, within 15 working days of VNIS approving it. VNIS does not refund in cash and does not refund to a third party's account.

7. Handling feedback and complaints

Feedback and complaints may be sent to partners@vnis.edu.vn, by telephone, or in person at an office.

VNIS records, investigates and responds in writing. The procedure and timelines are published in the Complaints section of the Service fees and refunds page.

INITIAL RESPONSE DEADLINE: VNIS acknowledges every enquiry, request or complaint within 1 working day, with a reference number.

EXPECTED RESOLUTION TIME by type of issue: a question about application progress - 3 working days; a technical fault on the website or portal - 5 working days; a complaint about fees, invoices or scope of work - 10 working days; a refund request - 15 working days; a complaint concerning personal data - 15 working days.

Where a case needs longer because it depends on a reply from an institution or a foreign authority, VNIS tells you before the deadline above expires, with the reason and the new date.

Where the parties cannot agree, disputes are resolved under Vietnamese law before the competent authority where VNIS has its registered office.

8. Rights and obligations of each party

VNIS - the platform operator: publishes and keeps accurate its business information, pricing, payment, refund, data-protection and display-criteria policies; checks school information before publishing it; receives and answers complaints within the published deadlines; removes unlawful content when found or when required by a competent state authority; protects personal data as set out in its published policy.

VNIS does not guarantee admission, scholarship or visa outcomes - those are decisions of the institution and of the competent authorities of the destination country.

Partner institutions - parties with a profile on the platform: provide accurate information about their legal entity, programmes, tuition and accreditation status; update it when it changes; and are responsible for the content they supply. VNIS may suspend or remove a profile if the information proves incorrect or the institution no longer operates lawfully.

Customers - users of the service: give truthful information in their application; pay as agreed in the contract; keep copies of documents submitted. Customers have the right to know all costs in advance, to withdraw consent to the processing of their personal data, to complain, and to a refund under the published policy.

9. Fees for partner institutions listed on the platform

Appearing in the vnis.edu.vn directory is FREE. VNIS does not charge to place an institution in the directory, and does not charge for higher placement - see the Display and ranking criteria page.

An institution may choose a full listing plan, which adds a detailed profile page and online application intake. The fee, term and scope of that plan are set out in the contract signed between VNIS and the institution; invoices are issued under Vietnamese e-invoicing rules.

If VNIS changes a fee already in force, the change is published on the platform at least 20 days before it takes effect and does not apply retroactively to a period the institution has already paid for.

10. Language and governing law

The website is published in Vietnamese and English. Where the two versions differ in interpretation, the Vietnamese version prevails.

These terms are governed by the law of Vietnam.
