Dutch student visas: the university applies, but you still need to understand it

In the Netherlands you do not apply for your own residence permit. The university sponsors you and deals with the IND — which changes how you prepare.

This is the biggest structural difference between the Netherlands and most other study destinations, and the one families find hardest to believe at first: you do not apply for your own Dutch student visa. Your institution acts as an erkend referent — a recognised sponsor — and files with the IND, the Dutch immigration service, on your behalf.

How it actually works

Once you are admitted and have confirmed your place, the international office opens the residence file. For Vietnamese students it usually runs as a combined procedure: the long-stay entry visa (MVV) and the residence permit are applied for together. You submit documents to the institution, the institution submits to the IND, and on approval you collect the MVV at the embassy or consulate before travelling and picking up your residence card in the Netherlands.

The practical consequence: the speed of your file depends on how fast you answer the university. The institution cannot file an incomplete application, and the IND clock only starts once the file is complete. Every day you delay a translation is a day added before you fly.

Proof of funds works differently here

You do not need a savings account held for a set number of days, as in the UK or Australia. What the IND requires is evidence that you can cover living costs for the period of study, and the most common route is transferring a year's living costs to the institution in advance, which then pays it back to you monthly after arrival.

The IND sets this figure per calendar year, so an application filed in December and one filed in January can face different amounts — a small detail, but enough to disrupt a transfer plan if you did not expect it.

What remains yours to arrange

  • A passport with sufficient validity — the slowest item and the easiest to control.
  • Diplomas, transcripts and language certificates, originals and translations to the standard the institution requires.
  • A tuberculosis test for nationals of certain countries, as required by the IND at the time of filing.
  • Suitable health insurance — arranged before departure, and read the section below.

The health insurance trap

International students who only study typically hold private student insurance. But if you take a part-time job — even a small one — you generally become liable for Dutch basic health insurance (basisverzekering). Failing to switch after starting work is a breach and can be pursued retroactively. It is a very common mistake, and almost nobody is warned in advance.
